Using Them

Four edits that turn a template into a letter

Name the exact job title

Copy it from the posting, word for word, including seniority. This is the single most common thing missing from letters that read as mass-sent.

Use their words, not synonyms

If the posting says "stakeholder management", write stakeholder management. Keyword matching is frequently literal, and a better synonym scores as a miss.

Put a number in every proof

Team size, budget, volume, percentage, timeframe. A claim without a figure reads as an opinion and is the easiest thing for a reader to skip.

Keep the contact block in the body

Do not move it into a Word header to save space. Many parsers never open the header region, and the letter arrives with no way to reply to it.

Pasted into an application form

The most common case. Paste as plain text and re-check the line breaks, because most forms strip formatting and can run your paragraphs together.

Attached as a document

Send .docx unless the posting asks for PDF. Use the same font and header as your resume so the two read as one application.

In the body of an email

Drop the address block and the date, keep everything from "Dear" onward. Put the exact job title in the subject line instead.

Are these cover letter templates free?

How long should a cover letter be?

One page, and usually less. Every template here runs three to four short paragraphs, which is roughly 250 to 350 words. If yours is longer, the cut is almost always in the opening rather than the evidence.

What do I write if I cannot find the hiring manager's name?

Use "Dear Hiring Manager". It is unremarkable and no reader holds it against you. What does get held against you is a wrong name or "To Whom It May Concern", which reads as a form letter.

Do employers still read cover letters?

Not always, and rarely first. Treat it as the document that answers a question your resume raises: a pivot, a gap, a relocation, a referral. When there is no such question, a short letter that names the role and the top requirement is enough.

Should I use the same cover letter for every application?

Keep the structure, change the evidence. The paragraphs that name the company, the exact title, and the posting's requirements have to be rewritten each time, because those are precisely the parts a reader checks for effort.

Do cover letters get scanned by an ATS?

Often, yes, and usually as plain text alongside the resume. That is why these keep the contact details in the body, avoid tables and columns, and reuse the posting's vocabulary rather than paraphrasing it.
